Owner Reports
Owner reports for every store, finished every month.
Upload the whole month's reports at once. Verillum AI reads each management summary, checks the figures against the report's own arithmetic, and builds the owner workbook and letter. The manager who runs the store writes the story and sends it.
At a glance
- Verillum AI builds each store's owner report from the management summary the store already files.
- Each Verillum AI owner report is a workbook and a letter, generated from the stored figures and sent with the workbook attached.
- In Verillum AI, a figure that fails the report's own arithmetic is held, and the owner report cannot be sent until a person resolves it.
- No past due or delinquency figure appears on an owner report from Verillum AI.
- Every owner report Verillum AI sends is recorded on a delivery ledger with the exact letter and the workbook the owner received.
One upload closes the month
Upload the folder of the month's reports. Each file is matched to its store and month by what it says, never by its file name. A report for a store nobody has added waits for a person to decide.
The month close board then shows which stores are done and what each still owes, with the stores that need someone first. Its summary states two numbers: figures in, and reports sent.
Every figure checked before an owner sees it
Each month is held to the report's own arithmetic: receipts add up, occupancy rolls forward from move-ins and move-outs, and percentages match their counts. A figure that fails is held and shown blank with the reason, and the report waits until a person keeps the printed figure or types the right one.
A report must cover one whole month and be run after it closed. A June summary run on June 30 is refused, with the fix: run it again on July 1 or later.
- A figure the report did not carry stays blank, never zero.
- Waived fees never appear, and every fee the store collected counts as revenue.
A letter with the numbers already in it
Verillum AI writes the data paragraphs from the stored figures and leaves the judgment to the manager: the site visit note, the closing sentence and the signature. A report cannot go out with any of those left empty.
Last month's words carry forward as a starting point, marked at the top, and the report cannot be sent until a person removes the mark.
Sent by the manager, kept for good
Each report goes from the district or area manager who runs the store to the owner contact on file, with the workbook attached, and replies come back to that manager. The delivery ledger keeps the exact letter and workbook from every send, and nobody can edit it.
- The workbook carries your company's name, not ours.
- Earlier months with gaps are named before the send, and the manager acknowledges them.
Budgets that hold still
Budget & Pro Forma builds each store's baseline from its own actuals, with month one starting at the real rent roll. Occupancy, rate increases, street rate, expenses, cap rate and debt are separate levers, so the budget shows whether a lift came from occupancy or rate.
A saved scenario keeps the actuals it was built on, so an approved budget reproduces exactly after new reports land. Export it as a workbook with every assumption listed.
Questions
Which management systems does it read?
Verillum AI reads exported report files, not a live connection. A new report layout is added only after a real report in it has been checked and confirmed, so name your system when you request a demo and we will say where it stands.
Will owners see past due figures?
No. Past due balances and aging are kept for staff screens and left off every owner report: the workbook, the letter and the owner's own view. The database blanks them for an owner account too.
Can an owner sign in to see their store?
Yes. An owner account sees its own stores: the month's figures, the workbook, and the reports it was sent. None of the operating controls appear, and the database scopes the rows.
Where do operating expenses come from?
Not from the management summary, which does not report them. In Budget & Pro Forma they are entered from the store's P&L, tax bill and insurance declaration, as a free-form list of expense lines.
What if a store has not sent its files?
From the day after the company's due day, the 10th by default, each area manager gets an email naming their late stores, then a weekly reminder while they stay late. District managers and the org admin get their own lists.
Can an org admin send every report at once?
No, by design. Every report comes from the manager who runs the store and carries a narrative they wrote. An org admin reads the delivery ledger and sees which stores are done.
