Past Due & Lien
Every past due unit tracked, from the first late fee to the lien sale.
Each rent roll opens a case for every unit that reaches your ladder's first step. Verillum AI dates every step from the day the clock started, refuses a step without its evidence, and builds the file counsel asks for.
At a glance
- Verillum AI Past Due & Lien turns each rent roll into one case per past due unit, dated from the first step of the company's ladder.
- In Verillum AI, a ladder step closes only when its required evidence is filed, and the database enforces it.
- Verillum AI cannot record a unit as sold at auction until every step marked statutory is complete.
- Verillum AI counts past due as units with their monthly rent, shown as rent at risk, never as a balance owed.
- Verillum AI holds no state's lien rules; each company sets its own ladder and confirms it for the state it was built for.
A case for every unit that needs one
Every imported rent roll carries days late for each unit. A case opens when a unit reaches the first step of the ladder, so a tenant two days late at the start of the month is not a case. The day the clock started is fixed, and every step is dated from it.
The starting ladder is common practice, not any state's law. Edit every step and fee for the company or for one store.
- Day 3: gate lock, where past due begins.
- Days 6 and 16: the first and second late fees.
- Day 30: lien notice and lien fee.
- Day 45: lock cut, inventory and the sale advertised.
- Day 60: the sale.
Evidence before the next step
A step closes on its evidence, a photo or a document, and the database refuses it otherwise. A statutory step cannot close while an earlier statutory step is still open. Only leadership can reopen a completed notice, and evidence on a completed step can never be deleted.
The sale, on the calendar
Schedule a sale, attach its units, and generate the advertisement from your template. A unit can be recorded as sold only once the sale is marked held and every statutory notice is out. While one is missing, the control names it instead of disappearing.
The file counsel asks for
Export any case as a PDF: the ladder in order, what happened at each step and who did it, the notes, the advertisement exactly as it ran, and the photographs. A step completed with no evidence prints "None filed", never a blank.
Closed cases stay searchable by unit, tenant name or note.
Past due, counted honestly
Past due begins at the first step of your ladder, and nothing before it counts. The figure is units with their monthly rent, shown as rent at risk, because a rent roll does not carry what a tenant owes. A roll with no days-late column is set aside, never read as all current.
Questions
Does it know my state's lien law?
No, and it does not pretend to. The starting ladder is common practice. Each company picks the state its ladder is built for, checks every step against that statute and its lease, and confirms it. The exported file names the state the ladder was confirmed for.
Where do the fees come from?
From your own settings. Each fee is tied to a ladder step and shows the amount you set. Verillum AI never supplies an amount, and a fee nobody set reads as not set.
How does a delinquency case close?
When a later rent roll shows the tenant current, the case closes as paid. A unit that leaves the roll while on a sale is put to a person, because the roll cannot tell a sale from a move-out. Resolutions include paid, moved out, written off and auctioned.
Who works the desk?
Org admins and district, area, property and assistant managers. Store managers record steps and evidence; skipping an owed step or reopening a completed notice or a closed case belongs to leadership. Bookkeepers and owners have no access.
Do owners see past due figures?
No. Past due figures are left off every owner report, and the database blanks them for an owner account.
Does Home show what is due?
Yes. A store's Home lists the next ladder step for each case, overdue or due in the next seven days, and links to the desk to record it.
