Versus spreadsheets
Spreadsheets for self-storage reporting, and where they stop.
Spreadsheets earn their place: they bend to any question, and everyone can open one. The trouble starts when one becomes the system, retyped every month, one store at a time.
At a glance
- With Verillum AI, a store's monthly figures come from its management summary file, not from retyping.
- Verillum AI checks every figure against the report's own arithmetic and holds a figure that fails.
- The Verillum AI owner report is an Excel workbook in which every calculated cell carries its answer.
- Prior years can be imported into Verillum AI from the workbooks a team already keeps.
- Each owner report sent from Verillum AI is kept on a delivery ledger exactly as it was sent.
What spreadsheets do well
A spreadsheet answers any question you can write as a formula. Everyone on the team can open one, nobody needs a login, and a new column takes a minute. For a one-off analysis, or a store you have just taken on, it is often the right tool.
Where they stop
The spreadsheet is not the problem. Making it the system is.
- Retyping. Each month's figures are copied by hand from each store's report, and a typo looks exactly like a real number.
- Version drift. Copies are emailed, edited and renamed until nobody is sure which one the owner received.
- No checks. Nothing confirms that the receipt lines add to the printed total, or that move-ins and move-outs reconcile to the tenant count.
- One store at a time. Each book is its own island, so comparing stores means building another spreadsheet.
What changes with Verillum AI
The management summary is read, not retyped. Every figure lands on one set of fields and passes the report's own arithmetic, and a figure that fails is held instead of mailed. Every store sits in one place, so ranking them is a view, not a project.
Each owner report sent is kept on a delivery ledger, the exact letter and the workbook, so the question of which version went out has one answer.
You keep the spreadsheet
The owner report is still an Excel workbook, and every calculated cell carries its answer, so it reads correctly even in a mail preview. Prior years come in from the workbooks you already keep, including a manager's own layout, matched by row label rather than position.
Questions
Can we import our existing spreadsheets?
Yes. Prior years import from the workbooks you already keep, matched by row label, so a manager's own layout works. A row it cannot place is listed back to you rather than guessed, and a month already sent to an owner is never overwritten by an import.
Will owners still get a spreadsheet?
Yes. Each owner report is an Excel workbook with a dashboard and a sheet per year, sent with a written letter. Every calculated cell carries its answer as well as its formula.
What does a check catch that a spreadsheet misses?
Arithmetic the report itself makes. Receipt lines must add to the printed total, unit statuses to the unit count, aging buckets to the past due balance, and the opening tenant count plus move-ins, less move-outs, to the closing count. A figure that fails is held.
Is a spreadsheet ever the better tool?
Yes. For a one-off question, a quick what-if or a store not yet onboarded, a spreadsheet is faster. Verillum AI is for the monthly work that repeats across every store.
What about the budget?
Budget & Pro Forma models each store from its own actuals and exports a workbook with every assumption on its own sheet. A saved scenario reproduces its numbers exactly.
