Versus built-in reports
Self-storage PMS reports, and what portfolio reporting adds.
Your management system runs the store, and its reports are the record of what happened there. They stay in use. Verillum AI works from them and adds what sits across stores and across months.
At a glance
- Verillum AI does not replace a management system; it works from the reports the system already produces.
- Verillum AI puts every store on one set of defined fields, so one figure means the same thing at every store.
- Nothing in Verillum AI writes to a management system; approved changes are keyed in by a person.
- In Verillum AI, every figure read from a report names the file it came from.
What built-in reports do well
The management system is where the store's work happens: every tenant, every payment, every unit. Its reports are printed from that record, so for one store on one day they are the source of truth. Nothing here changes that, and nothing should.
What a portfolio layer adds
Each of these works across reports rather than inside one.
- One set of fields. Every store's report lands on the same defined fields, so rent collected means one thing across the portfolio.
- Checks across the report. Receipts, unit statuses, aging and the month's tenant roll-forward each have to add up before a figure is used.
- Time. Each store's months build into a history for year-over-year comparison and for budgets built from actuals.
- Owners. Each store's owner report is drafted from the close and sent by the manager who runs the store.
- Peers. Stores are ranked within tiers of similar size, and a health view flags the ones that need attention.
What stays in the management system
Tenants, payments, unit statuses and rates stay in the management system, and so does every change to them. When a rate increase or a street rate move is approved in Verillum AI, a person keys it in. The next rent roll checks each new tenant rent against the approved increase, to the cent.
Which to use for what
Use the management system for anything about a tenant or a unit today. Use Verillum AI for the month across every store: whether it is complete, whether it adds up, what each owner is told, and how each store ranks against its peers.
Questions
Do we keep using our management system's reports?
Yes. They are the record for each store and the files Verillum AI works from. Store teams keep working in the system every day.
Does it connect to our management system?
No. Files are uploaded, and a whole month's folder goes in at once. Nothing connects to the system, and nothing is written back to it.
What if a figure does not add up?
Verillum AI stores the figure the report printed and names the file it came from. If a figure fails the report's own arithmetic, it is held, and the owner report waits until a person keeps the printed figure or enters the right one.
Which management systems are supported?
Name your system on the demo form and we will say where it stands. Onboarding starts from its own exports, and a new report layout is added only after a real report in it has been checked and confirmed.
